The lines

Asking what you should do

It is the safest way to ask a host how something is meant to work.

kagi wa doko de uketoreba ii desu ka.

“Where should I pick up the key?”

When to use it: Messaging the host before you arrive

What you’ll hear back: (It is in the keybox by the entrance. The code is 1234.)

Softening a complaint with んですが

Set the problem up with 〜んですが, then ask: 「お湯が出ないんですが、見てもらえますか。」 The んですが makes it sound like a shared problem, not an accusation.

o-yu ga denai n desu ga, mite moraemasu ka.

“There's no hot water. Could you take a look?”

When to use it: Telling the host something has broken

What you’ll hear back: go-fuben o okake shite sumimasen. kyōjū ni mi ni ikimasu. (Sorry for the trouble. I will come and look today.)
